Creating a Proposal

Navigate to Proposals
Click 'Proposals' in your vendor dashboard sidebar, then click 'New Proposal'.

Select client and event
Link the proposal to an existing client and event in your CRM, or create a new client record first.

Generate with AI or build manually
Click 'Generate with AI' to have Trunnion AI draft a complete proposal in your brand voice with packages and pricing, or build manually using the proposal builder.

Add packages and line items
Include your services, packages, add-ons, pricing, and any custom terms or notes.

Set expiration and sharing
Set an expiration date and decide whether to use a public shareable link or send directly to the client's email.

Send the proposal
Click 'Send Proposal' to deliver it to your client. They'll receive an email with a link to view and accept or decline.
Proposals generated with AI using a Brand Voice Profile close at a higher rate than manually written proposals because they're personalized to each client's specific inquiry details. Set up your Brand Voice in Settings → AI → Brand Voice.
E-Signature Contracts

Generate a contract from an accepted proposal
When a client accepts a proposal, click 'Generate Contract' or let your automation handle it automatically if you've set up the PROPOSAL_ACCEPTED trigger.

Review AI-generated clauses
Trunnion AI generates 8 standard clause types personalized to the event type, vendor category, and specific proposal details. Review and edit as needed.

Send for signature
Click 'Send for Signature.' Your client receives an email with a secure link to review and sign.

Client signs digitally
The client draws or types their signature. The platform captures their IP address, timestamp, and user agent for the forensic audit trail.

Counter-sign if required
If your contract requires a vendor signature as well, you'll be prompted to counter-sign after the client completes their signature.

Download the executed contract
Once all parties have signed, download the PDF from the contract record. It's also permanently stored in your platform.
Every e-signature is captured with IP address, timestamp, browser/device fingerprint, and geolocation data. This constitutes a legally binding electronic signature under the ESIGN Act and UETA in the United States.

Go to Proposals → Templates in your dashboard.

Create or edit a template
Build a reusable contract template with your standard sections, clauses, and terms. Use placeholders for client-specific fields.

Apply to new contracts
When generating a new contract, select your template as the starting point and let AI personalize the variable fields.
